Conference Terms and Conditions

Registration Terms and Conditions for the Participants of the Conferences organized by VM Media sp. z o.o. VM Group sp.k.

§1. General provisions

1.1. These Regulations defines the rights and responsibilities of Conference Participants and VM Media sp. z o.o. VM Group sp.k., referred to as “Terms and Conditions”.

1.2. The Conference takes place at the date and place indicated by VM Media sp. z o.o. VM Group sp.k.

1.3. The Organizer of the Conference is VM Media sp. z o.o. VM Group sp.k., located in Gdańsk (Świętokrzyska 73 Street, 80–180 Gdańsk, Poland) referred to as the “Organizer”.

1.4. Conference Participants are medicine specialists, primary care physicians, persons authorized to deliver prescriptions or persons running a pharmaceutical business, or other persons professionally associated with the topic of the Conference, and sponsors’ representatives, referred to as “Participants”.

1.5. Within the Conference, educational and didactic sessions, educational sessions, as well as exhibitions of pharmaceutical and medical equipment companies shall take place.

1.6. Every Participant shall receive a Conference Participation Certificate.

1.7. For the participation, every Participant shall receive educational points, in accordance with the principles established by the Regional Chamber of Physicians, unless the Regional Chamber of Physicians provides for this possibility.

§2. Registration in the Conference

2.1. In order to take part in the Conference the Participant is required to register and pay the fee within due time to the bank account indicated on the Conference website.

2.2. Conditions of the Conference Participation are the following:

2.2.1. Conference Participation Enrolment is possible by filling out a form available on the Conference website or sending the form at the Organizer’s correspondence address (VM Media sp. z o.o. VM Group sp.k., ul. Świętokrzyska 73, 80–180 Gdańsk, Poland, fax: +48 58 320 94 60), or by enrolling in the Organizer’s Office or personally at the conference reception during the Conference and

2.2.2. The payment in amount and within due time indicated by the Organizer.

2.3. The deadline for the receipt of the participation forms via website expires on a day indicated by the Organizer. After the deadline, registration will be possible in the Organizer’s register office or personally at the conference reception during the Conference provided sufficient places are available.

2.4. The Organizer shall not be responsible for false or untrue data provided by the Participant in the registration process.

2.5. Submitting the participation form available on the Conference website constitutes acceptance of the provisions of these Regulations and compliance of the legal provisions and other arrangements made between the Participant and the Organizer.

§3. Registration of the Participant giving a presentation

3.1. Participants who wants to give a presentation during the educational and didactic session shall be qualified by the Conference Scientific Committee.

3.2. The participant who wants to give a presentation during the educational and didactic session shall contact the Conference Scientific Committee at viamedica@viamedica.pl not later than 30 days before the beginning of the Conference.

3.3. The eligibility rules of the presentation by the Conference Scientific Committee are available on the Conference website.

3.4. The Organizer shall not be responsible for the thesis and views presented by the Participant.

3.5. The participants shall not present thesis and views referring to hatred or discrimination based on racial, cultural, ethnic, religious, ideological or sex grounds. Moreover, it is not permitted to promote the ideology and symbolism connected with the totalitarian system.

§4. Fees

4.1. Conference Participation fees are given at the Conference website.

4.2. The fee for the Conference Participation should be paid to the bank account indicated by the Organizer. The information concerning fees are available on the Conference website.

4.3. Conference fee not paid within due time specified by the Organizer at the Conference website, entitles the Organizer to cancel the enrolment without any liability for damages.

4.4. The Organizer shall issue a VAT invoice or a receipt for the fees paid.

4.5. The payer (invoice recipient) is the subject ordering particular services associated with Conference Participation.

4.6. The cost of the participation in the Conference, accommodation and travel expenses are covered by the Participant.

§5. Resignation from the Conference Participation

5.1. The Participant can resign from the participation in the Conference within 14 days of the date of the registration, not later than the day of the beginning of the Conference. The resignation from the participation in the Conference shall be submitted in the written form – the resignation letter is included in the attachment to the Regulations.

5.2. In case of the resignation from the Conference Participation, not later than 14 days of the date of resignation, the Organizer shall promptly return any fees already paid by the Participant to the bank account provided.

§6. Complaints

6.1. Any complaints from the Conference Participants towards the Organizer shall be reported in a written form by a registered letter with advice of delivery to the head office of the Organizer or via e-mail address: viamedica@viamedica.pl .

6.2. Complaints made by the Conference Participants can be reported not later than 3 days from the end of the Conference in written form.

6.3. After the due date, no complaints shall be investigated.

§7. Personal data

7.1. A controller of the subscriber's personal data within the meaning of the Personal Data Protection Act of the 29th of August 1997 (Journal of Laws 133/ 29 October 1997, item 833) is the Organizer.

7.2. The controller has a right to retrieve the personal data of Participants to the extent necessary in order to ensure the proper service.

7.3. The participant has a right to view his data at any time or demand the deletion or correction of the data.

§8. Final provisions

8.1. If the Conference does not take place due to reasons dependent solely on the Organizer, the Organizer shall immediately return the fees paid by the Participants to the indicated bank accounts.

8.2. Any disputes, which may arise from the participation in the Conference, shall be settled by the court relevant to the main office of the Organizer.

8.3. The Conference is closed and is not a mass event as provided for the Act on Mass Events Safety of 23 March 2009 (Journal of Laws 62/2009, item. 504.

8.4. To all matters not settled herein, provisions of the Civil Code shall apply.

8.5. The Organizer is not responsible for Participants’ personal things which may be lost, damaged or stolen during the Conference.

8.6. Participants have full material liability for damage done by them both on the premises of the facilities where any Conference activities are conducted and in places of Participants’ accommodation.

8.7. These Terms and Conditions come into effect on the date of their posting on the Conference website.

8.8. The Organizer has the right to change the provisions of the Terms and Conditions. Changes come into effect not later than 7 days from their posting on the Conference website. In reference to the services in progress, the Regulations concerns the version applicable on the date of the Participant’s registration.

8.9. The provisions of the Terms and Conditions shall be an integral part of the Participation Enrolment in the Conference and apply to all the Participants.
